NEW STUDENT ADMISSION AND ENROLLMENT POLICIES AND PROCEDURES

SCHOOL YEAR 2025 - 2026



I. Required Ages for Admission

  • Applicants must meet the age limits set for the following levels at the start of the school year.
  • Pre - Kindergarten – must be 4 years old on or before October 31
  • Kindergarten – must be 5 years old on or before October 31
  • Grade 1 – must be 6 years old on or before October 31

AI. Grade Requirement

  • Kindergarten to Grade 9 and Grade 11 Applicants are required to submit a Certified True Copy of the Report Card with Learner Reference Number (LRN) the present grade level. The report card must at least bear the grades of the first two grading periods. Only applicants with no failing grades will be accommodated.

BI. Requirements for Application

  • For Initial screening and verification by the Hijas Admissions Committee or Registrar’s Office (Requirements can be submitted on site to Windows 7 and 8 or via email to [email protected])

For ONLINE SUBMISSION:

  • 1. Scanned Copy of the following:
  • a. Report Card (Form 138) for Kindergarten to Grade 9 and Grade 11 applicants with LRN
  • b. Original copy of Birth Certificate issued by Philippine Statistics Authority (PSA formerly NSO)
  • c. Recent 2x2 photo with white background
  • d. Certificate of Good Moral Character from the last school attended (for Grades 4 to 6, Junior and Senior High applicants only)
  • 2. Duly accomplished Application Form and Recommendation Form/s furnished by the Registrar’s Office or Administrative Secretaries.

For ONSITE SUBMISSION:

  • 1. Certified True Copy of the Report Card (Form 138) for Kindergarten to Grade 9 and Grade 11 applicants with LRN
  • 2. Original copy of Birth Certificate issued by Philippine Statistics Authority ( PSA formerly NSO)
  • 3. 2 copies of recent 2x2 photo with white background
  • 4. Certificate of Good Moral Character from the last school attended (for Grade 4 to 6, Junior and Senior High applicants only)
  • 5. Duly accomplished Application and Recommendation Form/s*

  • *Forms can be downloaded online via Gakkou portal or secured onsite from the Administrative Secretaries office after payment of the minimal admission fee: Php 200.00

ADDITIONAL REQUIREMENTS FOR SUBMISSION

(These can be submitted onsite to Windows 7 and 8 or online to the Hijas Admissions Committee via email to [email protected])
  • a. Photocopy of the Baptismal Certificate
  • b. Photocopy of Marriage Contract of Parents (if applicable)
  • c. Medical Certificate
  • d. Alien Certificate of Registration (ACR) if applicable
Important: Scanned copies which are forwarded via email must be supported with hard copies to be submitted to Windows 7 or 8.

IV. Interview Schedules

  • Virtual interviews will be scheduled upon accomplishment of requirements after receiving confirmation of approval of application from the Hijas Admissions Committee.

V. Application Procedures

  • A. ONLINE
For inquiry, communicate with the Hijas Admissions Committee or Registrar via landline no.: 253-6347 or through their official email addresses: [email protected] or [email protected].
  • 1. Pay the admission fee Php 200.00 to receive the admission code via registered email and proceed with the admission process via the Gakkou portal: www.shs-hijas.com
  • 2. Download copies of the Admission and Enrollment Procedures, list of requirements, enrollment schedule and Application form.
  • 3. Fill out the forms and secure the complete documents required for application as indicated in page 1.
  • 4. Submit via Gakkou portal the duly accomplished forms together with the complete scanned copies of required pertinent documents for initial screening.
  • 5. Wait for the confirmation email from the Registrar’s Office or Hijas Admission Committee for the schedule/s of your interview/s.
  • 6. After a favorable initial virtual interview by the Student Development Center (SDC) facilitators, a final virtual interview with the Principal/Asst. Principal will be scheduled with the applicant and his/her parents.
  • B. ONSITE
  • 1. Visit the Registrar’s Office (Window 2) and inquire for the list of requirements for application.
  • 2. Secure the copies of Admission and Enrollment Procedures, Application and Recommendation forms.
  • 3. Fill out these forms and complete the documents required for application as stated in page 1.
  • 4. Submit to Windows 7 or 8 the duly accomplished forms and the complete hard copies of required pertinent documents for initial screening.
  • 5. Wait for the confirmation via email from the Registrar’s Office or Hijas Admission Committee for the schedule/s of your interview/s with the SDC Facilitator.
  • 6. After a favorable initial virtual interview, a final virtual interview with the Principal or Asst. Principal will be scheduled with the applicant and his/her parents.

VI. Enrollment Procedures

  • A. ONLINE
  • 1. A confirmation of acceptance bearing your assigned ID Number and a manual detailing the steps of online enrollment and schedule will be sent via email to you by the Hijas Admissions Committee.
  • 2. Access the online enrollment portal: www.shs-hijas.com
  • 3. Follow the steps for enrollment as indicated in the manual.
  • 4. Prepare payments of the following: a. Foundation Fee (for new students): (Please make check payable to SHS-HIJAS DE JESUS FOUNDATION, INC.)b. Tuition, Parents’ Association Membership Fee and other fees (Please make check payable to SACRED HEART SCHOOL - HIJAS DE JESUS) (ACCOUNT NUMBER: 330 333 0500 620)
  • 5. Make your payments to Metrobank or through Metrobank online banking. For validation, the bank will ask for the student’s name and ID number. Encode the reference number issued by the bank in the system. (For assistance, call the school through contact no. 254-4499 )
  • 6. Wait for the Enrollment Contract Agreement as acknowledgement. Take a screenshot and keep a copy of the Enrollment Contract Agreement.
  • 7. Email the clear scanned copy of picture of the receipt/invoice of your payment transaction to [email protected]
  • 8. Your enrollment will be approved once payment had been made and your receipt had been submitted to and verified by our Accounting personnel.
  • B. ONSITE
  • 1. Proceed to the auditorium lobby and present the original Report Card (New pupils/students may be asked to submit additional requirements.)
  • 2. Prepare payments of the following:
           a. Foundation Fee (for new students):
                  (Please make check payable to SHS-HIJAS DE JESUS FOUNDATION, INC.)
           b. Tuition, Parents’ Association Membership Fee and other fees
                  (Please make check payable to SACRED HEART SCHOOL - HIJAS DE JESUS)

  • 3. Make your payments at Window 5.
  • 4. Keep a copy of your payment receipt as acknowledgement


ADMISSION and ENROLLMENT PROCEDURES
FOR INCOMING GRADE 11 STUDENTS(OLD)

I. Application for Admission

  • A. ONLINE
  • 1. Communicate with the Registrar or Hijas Admissions Committee via the official email addresses: [email protected] or [email protected]
  • 2. Download copies of the Admission and Enrollment Procedures, list of requirements, enrollment schedule, Registration and Recommendation forms from the Gakkou Parents/Guardians’ portal: shs-hijas.com
  • 3. Fill out the forms and complete the following requirements for application:
       a. Registration Form
       b. Scanned copy of recent 2x2 photo with white background
       c. Recommendation Form
  • 4. Submit via email the duly accomplished forms and required documents as indicated above.
  • 5. Wait for the acknowledgement receipt email fromthe Hijas Admissions Committee to proceed to enrollment.
Important: Scanned copies which are submitted via email must be supported with hard copies. Please submit the hard copies of your requirements to the Registrar’s office
  • B. ONSITE
  • 1. Proceed to the Registrar’s Office (Window 2)
  • 2. Secure the copies of the Admission and Enrollment Procedures, list of requirements, enrollment schedule, Registration and Recommendation forms.
  • 3. Fill out the forms and complete the following requirements for application:
       a. Registration Form
       b. Recent 2x2 photo with white background (2 copies)
       c. Recommendation Form
  • 4. Submit the duly accomplished forms and complete aforementioned requirements to Window 2.
  • 5. Proceed to enrollment.

I. Enrollment

  • A. ONLINE
  • 1. Access the online enrollment portal: shs-hijas.com using your usernameand password.
  • 2. Follow the steps for enrollment as indicated in the manual.
  • 3. Prepare payments of the following:
       i. Tuition, Parents’ Association Membership Fee and other fees
       (Please make check payable to SACRED HEART SCHOOL - HIJASDEJESUS)
       (ACCOUNT NUMBER: 330 333 0500 620)
  • 4. Make your payments to Metrobank, or through Metrobank online banking. For validation, the bank will ask for the student’s name and ID Number found in Gakkou portal. (For assistance, call the school through contact no. 2544499) Encode the reference number issued qby the bank in the system.
  • 5. Wait for the Enrollment Contract Agreement as acknowledgement. Take a screenshot and keep a copy
  • 6. Email the clear scanned copy or picture of the receipt/invoice of your payment transaction to [email protected]
  • 7. Your enrollment will be approved once payment had been made,your receipt had been submitted to and verified by our Accounting personnel,and had submitted the following additional requirements to the Registrar’sOffice:    a. Drug Test (Result from Accredited Non-Government Hospital)
       b. Photocopy of PSA Birth Certificate (2 copies)
       c. Voucher Certificate (if any)
  • B. ONSITE
  • 1. Follow the schedule set for your child.
  • 2. Proceed to Window 2 and submit the following additional requirements for enrollment:
       a. Drug Test (Result from Accredited Non-Government Hospital)
       b. Photocopy of PSA Birth Certificate (2 copies)
       c. Voucher Certificate (if any)
  • 3. Proceed to the small conference room for the updating of your information.
  • 4. Prepare payments of the following:
       i. Tuition, Parents’ Association Membership Fee and other fees
       (Please make check payable to SACRED HEART SCHOOL - HIJASDEJESUS)
       (ACCOUNT NUMBER: 330 333 0500 620)
  • 5. Keep a copy of your payment receipt as acknowledgement.
Important: A laptop is a requirement for Senior High students.
